Most cleaning agreements say what gets done. Far fewer say who finds out about it, and how.

Whether anyone signs off on a visit, and whether that sign-off lives in a binder nobody opens or somewhere the client can actually see it. How often a written report is expected, and whether that interval was ever agreed or just drifted into being. Who writes it, somebody on site while the work is fresh or somebody at a desk afterward. What goes in it on the weeks when nothing went wrong, which is most weeks. Whether photos are expected, and whose time that is. What happens to the whole routine when the person who used to read the reports moves on.

Reporting is rarely written into a scope as work, and it is still work.

The same contract is not the same amount of work in February as it is in July, and most agreements are written as though it is.

Salt and grit tracked across entry floors for weeks at a time. A matting program that has to be laid out, lifted and laundered by somebody. Pollen in spring that puts glass and sills on a shorter cycle. A holiday shutdown where the building is empty and the work either compresses into fewer visits or does not happen at all. Leaf litter at one entrance and not the others.

None of it changes the written scope. All of it changes how long the written scope takes, and unlike most surprises it arrives on a calendar everybody can see a year in advance.

Somebody has to buy the paper, and the agreement usually says less about it than it should.

Whether consumables are yours or the building's. Which ones — liners, towel, tissue, soap, sanitizer, and the odd ones like urinal screens and feminine-hygiene disposal. What grade, because a building that upgrades its hand towel halfway through the year has changed your cost without changing a word of the scope. Who is responsible when a dispenser needs replacing rather than refilling. Where the stock is kept and who counts it.

If supply is yours, it is a line that moves on its own all year. If it is theirs, it is a line you will still be blamed for when it runs out on a Friday.

Whether liners are specified by size and gauge anywhere, or just assumed to be whatever is in the closet. Whether the building's own staff put things in the wrong stream, and who gets told about it.
