Tegrete Corporation has a full-time opening for an Entry Level Sourcing and Compliance Associate. Tegrete is a nationwide facilities management company, serving our clients for nearly 30 years.
Position Summary:
Seek out and build strong relationships with subcontracted Service Providers via phone and email, and process applicable pre-established sourcing documents. Assist with managing the RFP process and obtain, track and present bids according to Client requirements and deadlines. Prepare (using Tegrete templates) and/or review Service Provider and Third-Party contracts. Use A1 system for entering and tracking Service Provider and Client data. Serve as the point of contact for Tegrete's Service Providers, assisting them in the process of onboarding/vetting and explaining Tegrete's contracts and various terms and processes.

Excellent verbal and written communication skills.
Strong computer skills with above average Excel and Microsoft product experience.
Ability to multi-task, work independently, and balance priorities to meet deadlines.
Flexibility in moving between tasks and providing backup and support to the team.
Comfort level with making unsolicited, repeat calls to prospective Service Providers and tenacity to track-down information.
Willingness to learn and grow.
Preferred Skills/Experience:
Strong customer service skills.
Knowledge of RFP process, tracking and documentation.
General understanding of contract structure and terminology and risks associated with changes to contracts.
Sourcing experience to include seeking out prospective Service Providers.
Familiarity with social networks (Facebook) and professional sites.
Facility management knowledge (e.g., snow removal, lawn services, janitorial, HVAC, etc.).
Work is non-standard, varied and requires a self-starter with the ability to work and problem solve independently.
Associate Degree or higher preferred, or equivalent combination of experience and training.
Duties/Responsibilities:
Process applicable sourcing documents, implement, and manage the RFP process, obtain, and track bids according to Client requirements and deadlines, and organize and present bids to Client.
Build strong Service Provider pipeline for Tegrete's current and future Client needs by seeking referrals from other Service Provider's and local businesses, searching social network sites (e.g., Thumbtack, Contractor Associations, Google), sending recruiting emails, making phone calls, and organizing an effective referral system.
Screen Service Provider candidates using questions provided by Relationship Manager and Tegrete's vetting guidelines. Submit all necessary paperwork and ensure Service Provider clearly understands all Tegrete's vetting standards.
Create Excel reports, to be distributed throughout the organization, ensuring 100% accuracy of information.
Prepare and/or review various contracts (using templates) for Service Providers and Third-Party business partnerships.
As needed, update contract verbiage and terms through the negotiation process using experience, pre-established boundaries and /or by working with our Corporate Attorney to achieve positive outcomes while minimizing risk for Tegrete. Maintain accuracy throughout all documents and communication.
Maintain the integrity of all contract templates and periodically update based on new business requirements, working in conjunction with Corporation Attorney. Work to ensure that Tegrete employees understand and comply with contracts and policies.
Monitor contracts against milestones and expiration dates to ensure all deadlines are met and contracts are renewed in a timely fashion.
Use independent judgement to solve complex problems while overseeing projects based on precedent, example, experience, reasonableness, or a combination of these.
Monitor projects and adjust priorities based on due dates and milestones to ensure all deadlines are met.
Serve as back-up resource for Security and Compliance and Supply Ordering and approvals.
Fully remote position with preference to applicants that live in Minnesota, Wisconsin, Illinois or Michigan. Half-day Fridays, 9 hour shifts remainder of week.
