Office Assistant / Scheduling Coordinator

Position Overview

Life Maid Heavenly, LLC is seeking a reliable, organized, and professional Office Assistant / Scheduling Coordinator to support daily operations for our growing cleaning company. This position plays a key role in coordinating clients and cleaning teams, managing schedules, assisting with billing and administrative tasks, and stepping into the field as a Cleaning Technician when operational needs require.

The ideal candidate is detail-oriented, dependable, able to multitask in a fast-paced environment, and comfortable communicating with both clients and team members professionally and respectfully.

Primary Responsibilities
Scheduling & Client Coordination
Schedule residential, commercial, and construction cleaning appointments
Coordinate daily routes and assignments for cleaning teams
Communicate schedule updates, changes, cancellations, and confirmations with clients and staff
Monitor staffing needs and adjust schedules as needed
Assist with after-hours scheduling emergencies when necessary
Ensure team members arrive to jobs on time and with proper instructions
Administrative & Office Duties
Answer phone calls, emails, and customer inquiries professionally
Maintain organized client records and job notes
Assist with invoicing, billing, payment tracking, and account follow-up
Prepare and organize office documents and reports
Support management with administrative projects and operational tasks
Maintain confidentiality regarding company and client information
Field Support / Cleaning Technician Duties
Fill in on cleaning teams when staffing shortages or operational needs arise
Perform residential, commercial, and construction cleaning tasks according to company standards
Assist teams in maintaining quality control and customer satisfaction
Represent the company professionally while onsite with clients
Qualifications
Strong organizational and multitasking skills
Excellent communication and customer service abilities
Ability to work independently and as part of a team
Reliable transportation and valid driver’s license preferred
Comfortable using computers, scheduling software, email, and mobile apps
Previous office, scheduling, customer service, or cleaning experience preferred
Ability to occasionally perform physical cleaning duties, including standing, bending, lifting, and repetitive movement
