Capital Cleaning LLC is looking to hire an administrative assistant for our construction cleaning company. The position is 30 hours per week, work from home with a few in person meetings in Meridian. Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in maintaining the efficiency of our office operations, with a primary focus on contract management, invoicing, data entry, and providing support to our project management team. This role offers an exciting opportunity to be an integral part of a fast-paced and forward-thinking company.
This position is a part-time, Monday through Friday, remote work setting with a few in-person meetings during the work week.
Responsibilities:
1. Calendar Management: Schedule and coordinate appointments, meetings, marketing activities, and events for team members.
2. Communication: Handle phone calls, emails, and other forms of communication in a professional and efficient manner.
3. Documentation: Prepare and maintain contracts, reports, and correspondence as needed.
4. Data Entry: Accurately enter and update information in databases and spreadsheets.
5. Invoicing and A/R: Submits invoices/billing to clients via various methods requested, and tracks accounts receivables.
6. Travel Coordination: Arrange travel arrangements and accommodations for team members when required.
7. Customer Service: Provide exceptional customer service to internal and external stakeholders.
8. Ad-hoc tasks: Assist with special projects and other duties as assigned.
Qualifications:
• High school diploma; additional education or certification in office administration is a plus.
• Strong organizational and time-management skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent communication and interpersonal skills.
• Proactive problem-solving ability and attention to detail.
• Positive attitude and ability to work effectively in a team.
• Ability to efficiently work from home in an appropriate environment
