Office Reception/Administrator
Location: Marsden Point, Bream Bay
🕒 Employment Type: Part-time – 5 x 5 hour days per day, with the flexibility to extend hours in the future.

The ideal candidate will have strong administrative and organisational skills, along with experience in office, accounts management and health & safety compliance.
Key Responsibilities
* Be the friendly face of our office—handle incoming calls, emails, and greet clients, visitors and sales
* Generate job schedules for new client requests
* Allocate invoices to the correct client jobs
* Maintain/create customer databases and ensure accurate job records
* Prepare invoices for completed work
* Coordinate with staff and management to ensure smooth job ex*****on
* File and organise completed job documentation
* To be confident using Mac, Microsoft Office including Word and Excel
* Flexibility to adapt your hours when required
* Supportive and hands-on team environment
* Experience with Microsoft and/or job management software preferred
* Some PA duties as required
* Prepare and update policies and procedures
* Maintain/update if and when required social media platforms
* Create and manage shift arrangements for staff in company app
* Performing other relevant duties as needed
* Create and manage records for personnel, financial, and other types of data
* Payroll when required
* Maintain client files, engagement records, and supporting documentation in line with internal policies and instructions from senior staff.
* Create and prepare new customer proposals, reports, site audits, relevant documents
* Schedule appointments, meetings, and follow-ups as instructed, and update calendars and booking systems accordingly
* Ensure accurate filing, document control, and secure handling of confidential information in accordance with privacy requirements
Job summary:
* 2-3 years minimum of relevant work experience required for this role
* Expected salary: depending on experience
* Part -time hours that may extend

Skills & Experience Required:·
Proven experience in office administration·
Basic accounting knowledge (Xero experience preferred)·
Understanding of health & safety requirements and documentation·
Strong attention to detail and time management skills·
Excellent communication and interpersonal skills·
Proficient in Microsoft Office (Word, Excel, Outlook)·
Ability to multitask and work independently
