Book keeping for your business
If you’re getting into detailing properly — not just washing cars on weekends, but building a real business — there’s something you need to understand early:
The ATO side of things is not optional… and it’s not simple.
Once you move into a proper business structure, GST, BAS, PAYG, super — it all stacks up quickly. And when you’re busy running jobs, quoting, managing customers, and trying to grow, bookkeeping becomes the thing that quietly builds up in the background… until it becomes a problem.
Most people’s first instinct is:
“I’ll just get a bookkeeper and it’ll be sorted.”
That’s fine — but this is where a lot of people get caught out.
A good bookkeeper is one of the most important people in your business.
A bad one can put you in a position you don’t recover from easily.
⸻
Here’s the part no one really tells you…
⚠️ There are absolutely some unscrupulous bookkeepers out there who deliberately structure things in a way that gives them control over your business systems.
And it usually starts with something that looks harmless.
They sign you up to software under their account — whether it’s Xero, MYOB, or similar — and tell you it’s just “easier” if they manage everything.
It feels convenient.
But what you’ve actually done is handed over control of your entire financial system.
If things ever go sideways — disagreement, poor performance, or you simply want to move on — they hold the keys.
And that’s when the problems start.
I’ve seen situations where:
* Access gets restricted
* Data isn’t handed over properly
* You’re locked out of your own books
* BAS and reporting can’t be completed
That’s not just frustrating — that’s an ATO compliance risk.
Your software should always be:
✔️ In your business name
✔️ Under your control
✔️ Paid by you directly
They can have access — but not ownership.
⸻
⚠️ Second trap — the 30-day exit clause.
On paper, it sounds completely normal.
In reality, it can be used against you.
When your system is tied to the bookkeeper, that notice period can become a pressure point.
During those 30 days, they can:
* Slow down or stop processing
* Limit your access
* Leave things incomplete or unlodged
Now you’re stuck trying to:
Stay compliant
Exit the relationship
And regain control of your own numbers
All at the same time.
It’s a situation you never want to be in.
⸻
This isn’t about being paranoid — it’s about being set up properly.
If you’re serious about detailing as a business, not just a job, you need to treat this side of it with the same level of attention you give your work.
Because once you start growing — more customers, more revenue, maybe staff — these problems don’t stay small.
They compound.
⸻
✔️ Choose your bookkeeper carefully
✔️ Keep control of your systems at all times
✔️ Understand your obligations (even at a basic level)
✔️ Don’t outsource responsibility — only the workload
⸻
This is one of those things that’s very easy to get right at the start…
And very painful to fix later.
Word of warning from experience — don’t let yourself get boxed into a system you don’t control.
Because when it goes wrong, it’s not just inconvenient…
It can put your entire business under pressure.
